Motovo Limited is the controller of personal information used to operate Motovo. We are registered in England and Wales, company number 17432418. Our registered office and correspondence address is 71–75 Shelton Street, Covent Garden, London, WC2H 9JQ.
Contact support@motovo.co.uk for privacy questions or rights requests.
2. Information we handle and where it comes from
- Accounts and listings: information you provide, including your name, email, account role, vehicle details, photos, contact number, location and dealer business details.
- Messages and support: enquiries, saved-search preferences, complaints, moderation reports and correspondence.
- Car Checks: the registration, mileage and vehicle details you submit; report identifiers; vehicle identifiers such as VIN; supplier responses; source/check dates; processed report versions; and records of failures, retries and corrections. Supplier records may include finance, theft, write-off, salvage and historic advert information.
- Orders: the purchasing account, payment and refund status, amount, currency, Stripe transaction references, accepted terms versions, consent wording and timestamps. Card details are entered into Stripe's payment interface; our report records do not contain your full card number or security code.
- Technical and usage information: session identifiers, page and search activity, device/browser information and technical events used to operate, secure and understand the service. Removing a name from a record does not necessarily make it anonymous.
We receive information from you, your use of Motovo, other users who contact or report an account, payment providers, and vehicle-data providers. Historical vehicle information may originate from official records, finance companies, insurers, salvage auctions and previous advertisements; it was not necessarily provided to Motovo by the current keeper.
3. Purposes and lawful bases
- Contract and requested pre-contract steps: create accounts, manage listings and enquiries, confirm a vehicle, process an order and supply the report or other service you request.
- Legitimate interests: protect accounts and payments, investigate errors and complaints, maintain proportionate audit records, improve reliability, and provide useful vehicle history. Where information concerns someone other than the purchaser, we assess those interests against the person's rights.
- Legal obligations: maintain required accounting records and respond to lawful requests or applicable regulatory duties.
- Consent where required: optional marketing and saved-search alerts, and any storage or tracking for which the law requires consent. You can withdraw consent without affecting earlier lawful use.
Accepting purchase terms or requesting immediate report delivery is not consent to marketing. Vehicle risk markers inform the report; they are not a credit assessment of the purchaser.
4. Car Check providers and sharing
We use the information needed to obtain your selected checks and keep the results tied to your report:
- DVLA and DVSA: official vehicle and MOT enquiries.
- Vehicle Data Global: vehicle identification, specification and representative imagery, depending on the check.
- Vehicle-data API intermediaries and underlying data providers: Experian for attributed history and salvage checks; Cazana/Percayso for available advert and valuation data; and applicable specification/catalogue suppliers for enabled report sections.
- Stripe: payment processing, payment verification, refunds and fraud prevention.
- Base44 and service infrastructure: hosting, account access, database storage and operational support.
- Support and legal recipients: authorised staff, professional advisers, relevant data suppliers investigating an issue, and authorities where disclosure is required or otherwise lawful.
The registration and, where needed, VIN, mileage or derivative identifiers are sent for the relevant vehicle enquiry. Raw provider responses and technical diagnostics are restricted to authorised support/admin access. The consumer report uses processed data and masks full VINs and finance agreement references.
We do not sell your account details. Information you choose to publish in a listing is visible to its audience. Following an external advert or salvage photo link takes you to another website, which handles your visit under its own privacy information.
Some service providers may process information outside the UK. Applicable transfer safeguards must be used, such as an adequacy decision or approved contractual protections where required. Contact us for information about the safeguards relevant to your data.
5. Cookies and browser storage
Motovo uses cookies and browser storage for sign-in, session management and recovery of an interrupted checkout. Usage analytics may also use identifiers and record searches or feature interactions. Browser settings can manage or clear storage, although essential features may stop working. Optional tracking that requires consent must remain subject to that choice.
6. How long information is kept
We distinguish account access, vehicle-data storage and transaction records. Keeping a report available does not mean that its checks remain current.
- Account and listing information: kept while needed to operate the account or listing, followed only by any justified period for support, disputes or legal duties.
- Consumer report access: any purchased access period is stated before payment. We do not promise permanent access or automatic refreshes.
- Raw vehicle responses, processed JSON and report copies: retention is limited by the relevant supplier licence and the period necessary to supply the report, investigate errors or complaints, and support applicable guarantee claims and audit duties. After customer access ends, any permitted retained vehicle data is restricted to those purposes. It must not be reused to supply a new buyer check or activate another guarantee.
- Payment and accounting records: the minimum records needed for company accounts are normally retained for six years from the end of the financial year concerned, or longer where legally required. This does not authorise keeping full supplier vehicle payloads for six years.
- Disputes and legal holds: relevant records may be preserved while a specific dispute or legal obligation requires them. Once the reason ends, the normal retention assessment resumes.
Retention decisions take account of the original check date, the agreed access and licence periods, claim deadlines, an active support matter and applicable legal duties. Records no longer needed should be deleted or genuinely anonymised, including appropriate handling of backup copies. You can ask us about the period and reason applying to your report or request erasure. A deletion request may not remove records we still lawfully need, but we will explain any such restriction.
7. Your rights and complaints
Depending on the circumstances, you can request access to your personal information, correction, erasure, restriction, or a portable copy; object to processing based on legitimate interests; and withdraw consent where we rely on it. These rights have conditions and exceptions. We may need proportionate information to verify your identity before disclosing or changing records.
Contact support@motovo.co.uk. We respond within the applicable legal time limits. You can also complain to the Information Commissioner's Office; you do not have to complete our process first.
8. Updates
We update this notice when our processing changes and show the date above. Material changes will be brought to your attention where appropriate. A saved purchase confirmation retains the version supplied with that order.
